Introduction

PMBOK, Process is an inter-related task that is important to be completed the activity. So, there is possibility of implementing various processes for a same activity. It is more interesting and differs from a one project manager to another. Together it is known as a project governance. A work could be a furnished with a five processes in seven days and same work could be a completed in five days with three or four processes. It depends upon a project manager how they pick a processes to complete their tasks. As per a Deming cycle, know that there are be four processes (P – D – C – A) and this cycle is a basis of a handling or executing several projects. Initiation Process Group

As per PMBOK®, a first process to start a project is initiation. What does it means? How is it an important for project manager? Look, initiation stage is a basis for the project’s success. As project manager need to know actual work associated with this stage. In a general, two knowledge areas are be covered in this stage. They are the integration and communication. Whenever a project is launched or taken up by the organization it must go through an initiation stage. During integration, need to develop a project charter document. As know, project charter is the document that defines high-level project information such as a project product description, high-level scope information, high-level budget, high-level schedule information, project acceptance criteria, high-level risk information and many more. All above information need to be drafted in a neat and clean way before going for a next stage, which is planning.

The second task in initiation stage is identifying all the stakeholders, which do in communication knowledge area. It is more imperative for a project manager to know names of a stakeholders and their roles and influences in project so that a project manager can take a views of all the stakeholders in order to make project a huge success. Furthermore, this is also important to identify a names of all the stakeholders as need to involve them in a planning stage.

Planning Process Group

It is an important stage for the project manager. This stage is more important that it decides a fate of project. A project manager should allocate more time for this stage as it could be take a lot of time. Planning is an impacted at each and every knowledge area. A project manager plan is the altogether plan from each knowledge area (subsidiary plans) that triggered in the single place. Initially, as will have limited information on a project, and would have planned based on information in hand and gradually as a work progresses, and might notice a lot of new things, consequently planning should be a changed iteratively. That’s why planning is an iterative in nature and also progressively elaborated.

Execution Process Group

Based on a project planning, need to start working on a project accordingly. Take care – there should not be any deviation in work. It should exactly be carried out in way as chalked out in a planning stage. While working, and should wisely control changes taking place in the project. There are chances that, a lot of a stakeholders might want some pointless changes in a project. As a project manager, and should think several times before implementing such a changes. And should also try and convince such a stakeholders by stating that, a suggested changes are out of the work scope and it might hamper a cost and schedule baselines if be implemented. Work very closely with change request board so that can manage the project in a right way. Documentation is the asset that should handsomely utilize in this stage.

Monitoring Process Group

Though serially it is a fourth process group as per PMI® PMBOK®, it begins from a stage of initiation. As project manager, need to monitor a project right from stage of inception. And need to monitor all project baselines such as a scope baselines, schedule baselines and cost performance baselines. As a project manager need main responsibility is to balance and manage a project baselines. If doing it effectively, are doing an excellent job in a project. And should monitor and control scope, cost, schedule, quality and much while balancing the actual project requirements. And doing so need to manage and monitor expectations of all the stakeholders as well. Need to provide a project progress report, forecasting report and trend status report to all the concerned stakeholders.

Closing Process Group

If customer has accepted a output and signed on it, a project is completed. And need to archive all pertinent information of a project on a single platform with help of the other stakeholders so that a same can become a database for the future projects. And need to release the resources as well after a project objectives are met. A big thing can need to accomplish is the milestone party with all stakeholders possibly with a customer to celebrate project success together.
